School & Teacher Terms

Last updated: 4 October 2026

These terms apply in addition to our Terms of Use when a school registers on AICLUBAFRICA or a teacher uses teacher tools. If a school has a signed agreement with us, that agreement applies where it differs.

1. Authority

The person who registers a school confirms they are authorised to act for it. Teachers confirm they are employed by or teach at the school they join.

2. Roles under data protection law

For student and teacher data that a school provides or manages, the school is a data controller and we process that data on its behalf to provide the Platform. For accounts individuals create directly, we are the controller.

3. The school's responsibilities

Make sure parents or guardians have consented to their children using the Platform (NDPA section 31), usually through enrolment.
Give accurate data and keep it up to date.
Allow only authorised staff to access school dashboards, and remove leavers promptly.
Use student data only for teaching and student support.

4. Our responsibilities

Process school data only to provide the Platform and as the school instructs.
Keep it confidential and secure, and give access only to staff who need it.
Use only the sub-processors listed in our Privacy Policy, and tell schools before adding new ones that handle student data.
Help the school respond to data subject requests.
Tell the school without undue delay, and within 72 hours, of a personal data breach affecting its students.
When the school leaves, return or delete its data within 30 days of a written request, except records we must keep by law or for certificate verification.

5. Teacher tools

Teachers are responsible for lesson notes and materials they create or use. Uploaded schemes of work must be materials the teacher has the right to use. AI-generated notes are drafts that must be checked.

6. Paid features and fees

Paid school features are activated by agreement with us. Fees, payment terms and refunds are set out in the school's agreement or invoice.

7. Ending the relationship

Either side may end the school relationship with 30 days' written notice. Students keep their own accounts and certificates unless the school or their parents ask for deletion.
